Status of RoomHex
RoomHex is a pre‑incorporation project in early development. Certain features may be offered as limited “beta” or “preview” features and may change, be suspended, or be discontinued at any time.
1) Eligibility & accounts
You must be at least 16 years old to use the Service and, where acting for an organisation, have authority to do so. You are responsible for safeguarding your credentials and for activities under your account.
2) Service scope
RoomHex aims to provide real‑time collaboration/meeting features. Features may change during development. We may employ automated monitoring and rate limiting to protect the Service and users.
3) Acceptable Use
- Do not violate laws or third‑party rights (including privacy, copyright and anti‑circumvention laws).
- Do not upload or share unlawful, harmful, or infringing content.
- Do not probe, scan, bypass, reverse engineer, or disrupt the Service or its security.
- Do not access accounts/systems without authorisation.
- Do not upload malware, attempt to overload, or abuse bandwidth/quotas.
We may suspend or terminate access where we reasonably suspect violations.
4) Your Content
You retain ownership of your content. By using the Service, you grant RoomHex and its infrastructure providers a non‑exclusive licence to host, process, transmit and (if applicable) temporarily store your content solely to operate the Service. You represent that you have necessary rights/permissions and that your content and use comply with law.
5) Intellectual Property
All rights in the Service, software, documentation, and RoomHex marks belong to us or our licensors. Except for the limited licence in these Terms, no rights are granted. Use of our marks requires prior written permission.
6) Software & APIs
If we offer clients, SDKs or APIs, you must use them according to our documentation and any keys/rate limits we provide. We may modify or suspend access at any time.
7) Plans, fees and payment
If paid plans are introduced in the future, applicable fees, billing cycles and refund terms will be presented at checkout or in your account. Taxes may apply. Until then, any access provided is on a free, trial, or beta basis and may be withdrawn at our discretion.
8) Privacy
Your use of the Service is subject to the RoomHex Privacy Policy. Where applicable, you are responsible for providing lawful notices and obtaining valid consents from your end‑users for processing you instruct us to perform (e.g., cookies/analytics where enabled).
9) Warranties; disclaimers
THE SERVICE (INCLUDING ANY BETA FEATURES) IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON‑INFRINGEMENT, AND WE DO NOT WARRANT UNINTERRUPTED OR ERROR‑FREE OPERATION.
10) Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) GBP £50 OR (B) THE AMOUNTS YOU PAID TO ROOMHEX IN THE 12 MONTHS PRECEDING THE EVENT (IF ANY). IN NO EVENT SHALL WE BE LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR LOST PROFITS, REVENUE, DATA OR GOODWILL.
11) Indemnification
You will defend, indemnify and hold harmless RoomHex, its contributors and personnel from claims, damages, liabilities, costs and expenses (including reasonable legal fees) arising from (a) your content, (b) your breach of these Terms, or (c) your violation of law or third‑party rights.
12) Suspension and termination
We may suspend or terminate your access immediately for suspected AUP or legal violations, security risks, non‑payment (if applicable), or to comply with law. Upon termination, licences end and we may delete data consistent with our retention practices.
13) Changes to the Service or Terms
We may change the Service or these Terms. Updated Terms will be posted with a new effective date. Your continued use after the effective date constitutes acceptance.
14) Governing law and dispute resolution
To the extent required by mandatory consumer protection laws, the laws of your place of habitual residence will apply and you may bring claims in your local courts. Otherwise, these Terms will be governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.

Annex A — Summary Acceptable Use Policy (AUP)
- No DRM circumvention, reverse engineering, or security testing without written permission.
- No spam, artificial traffic, or attempts to exhaust shared resources.
- No hosting/distribution of illegal, hateful or IP‑infringing content.
- Follow any published API/SDK documentation and rate limits.
AUP violations may result in immediate blocking and, where appropriate, reporting to competent authorities.
