Use this page to find a specific capability. Each area below covers one part of the platform, from who can join a session to how meetings are recorded and how content is protected.

Identity and access

Accounts, approval, and roles

An administrator creates each account after reviewing the request, and a person's role sets what they can do after they sign in.

RoomHex creates no instant accounts. An administrator reviews the request first and then provisions the account, so every account on the platform was approved by someone in your organisation. At the door of a session the host approves each guest, and a person who has not been approved stays outside.

The organisation owner grants roles to the people who need them and can hand routine management to a local admin. Each person sees only the parts their role allows.

Meetings and calls

Secure calls with a full client app

This part of RoomHex runs self-hosted, with a full client app for placing calls and joining rooms.

One to one calls

Place and receive one to one audio and video calls. Ringing, answering, and hanging up all happen in the app, at a latency that keeps a conversation natural.

Meeting rooms

Create a meeting room or join one. The room shows a grid of participants and holds each guest until the host approves them. Hosts and guests get different controls, and picture in picture keeps the speaker visible while you work in another window.

In-meeting controls

During a meeting you can share your screen, send a message, or raise your hand. Each participant manages their own microphone and camera, and the host has the extra controls a working session needs.

Contacts and schedules

The client app lists your contacts and your upcoming meetings on the same screen, and it warns you when the same account is already in a live session somewhere else.

Classroom delivery

Teacher panel
Lists who is present, who has a hand raised, and who has quietly asked for help. In a large class the teacher can work through that list and reach every student.
Polls, quizzes, whiteboard, breakout rooms
Run a poll or a quiz to check whether the class is following. The whiteboard lets you work through a problem together, and breakout rooms split the students into small groups.
Recorded lessons
A recorded lesson stays available after the class ends. A student can watch it again at their own pace, or catch up on a session they missed.

Activity rooms

Games and challenges
A set of light group games warms up a meeting or a class, and team and class challenges work in a lesson as well as a workplace session. The host starts one from inside the session, and nobody has to open a separate app.
Phone as controller
A participant can join an activity from a phone and use it as the controller, which keeps the main screen free for the session itself.

Synchronised viewing under content-owner rules

A group watches the same video at the same point. Playback starts only when the content owner's consent and viewing policy allow it.

Playback synchronisation

The room has a single playback position. Anyone who joins late is moved to that point and sees the same moment as everyone else.

Reactions and spoiler-safe chat

Viewers react and leave notes on a frame while they watch. The chat hides a message from anyone who has not reached that point in the video yet.

Content-owner controls

Playback starts only after the content owner's consent and viewing policy have been checked. RoomHex does not encourage sharing a work you have no right to show.

Content protection

Limits on copying shared content

These features raise the effort needed to copy protected content.

  • Playback runs through a temporary access grant that expires, so the file has no fixed open address someone could copy and pass around
  • The owner can review how protected content was viewed and by whom, which makes viewing traceable after the fact
  • The protection targets the people who view the content and raises the effort of casual copying; a determined viewer with the right tools can still capture what appears on their own screen

Language workflows

Live captions and translation

A person can review and correct captions, translation, and dubbing before anyone relies on the output.

Captions appear during the session, and a person can correct the wording.

Translation and subtitles

In a mixed-language group, RoomHex can translate speech and show translated subtitles. A person can review the wording and fix it where accuracy matters.

Rights-aware dubbing

Dubbing runs only when the content owner's rights and policy allow it.

Recording and meeting outcomes

Recordings and summaries after a session

After a meeting ends, RoomHex can keep the recording and a written summary of what was decided.

  • Recordings are written to storage you run
  • Meeting Capsule turns a session into a written summary that lists the decisions and the action items from the discussion
  • Only a person whose role allows it can export a recording or a summary, and an export follows the same content-owner policy as playback

Running RoomHex in your organisation

Administration and branches

Branch permissions
The organisation owner sets the policy. A local admin applies it at their own branch, and a branch cannot go beyond the permissions the owner granted it.
Delegated administration
The owner can hand routine management to the right person at each site and still keep organisation-wide access limited to a few people.
Plans and policy
Your organisation manages its own plans, users, and permissions. A plan describes what a package includes, and the security settings are configured separately.

Integrations

Identity and calendar
Connect your identity directory and your calendar. People sign in with the account they already have, and meeting times stay in sync with the calendar your organisation uses.
Storage and reporting
Send recordings to storage you control and feed session activity into your own reporting systems.
No vendor lock-in
Integrations work with the systems you already have. RoomHex requires no particular vendor, and you choose which tools to connect.

Deployment

Self-hosted deployment
The setup steps are documented, so your own team can install RoomHex and keep it running.
Secure by default
RoomHex ships with conservative, secure defaults, and the server refuses to start while its security settings are incomplete.
Grows with your organisation
RoomHex scales as you add sites, so a larger organisation can place capacity near the people who use it. Availability depends on your deployment and configuration. Contact RoomHex for deployment requirements.

Connection recovery

A call keeps running through the ups and downs of an everyday network. When quality drops, the connection recovers on its own, so a session sees fewer interruptions.

Private to your organisation

Everything runs self-hosted. A conversation stays inside your organisation, and only approved people can join.
