The platform runs on your own servers

RoomHex is served from your own domain. Calls, recordings, and transcripts stay on those servers, and a person reaches the platform only after an administrator creates and approves their account.

Where your data is stored and who can reach it

A deployment runs inside your infrastructure and on your own domain. Your administrators create the accounts, group people into organisations and branches, and turn features on for each group.

RoomHex runs on your servers

The deployment is installed in your environment and served from your own domain. Calls, recordings, and transcripts stay on those servers.

Administrators create and approve accounts

There is no public signup. Access stays closed until an administrator creates an account and approves it for the deployment, so you know who is on the platform.

Organisations and branches

Administrators group people into organisations and branches, set the policy for each branch, and hand day-to-day administration to the people who run those groups.

Host approval for every participant

A host approves each participant before they enter a room, and the default settings start restrictive rather than open.

Features depend on your setup

Some capabilities depend on how the deployment is set up. During installation we go through which features are turned on for your environment and how each one is configured.

Calls and meetings

Secure self-hosted calls and meetings

One-to-one calls and meeting rooms include join approval, a participant grid, chat, raise hand, and screen share, at a latency that keeps a conversation natural.

  • A host approves each person before they join
  • Calls stay steady on real networks and reconnect after a drop
  • The client app includes one-to-one calls and meeting rooms with join approval
  • Inside a session there is a participant grid, chat, raise hand, and screen share
  • No paid third-party service

Policy and administration across your organisation

Administrators arrange people into organisations and branches and set policy at each level. Session activity is recorded for later review, and synchronised cinema and a structured classroom run in the same deployment.

  • Synchronised cinema and a structured classroom run in the same deployment
  • Administrators set policy for the organisation and for each branch, and delegate day-to-day administration
  • Session activity is recorded and can be exported for review
  • Protection for shared video limits what viewers can capture, within practical limits
  • We review the deployment with you before launch so the setup matches your environment

Captions, transcripts, and summaries a reviewer checks

Captions, translation, transcripts, and summaries are generated inside your deployment. A reviewer checks the output before a team relies on it, and each participant sees only what their permissions allow. Dubbing and translation need the content owner's consent.

Security reports

We accept security reports and respond in good faith. When an issue touches customer data or safety, we tell the customers it affects.
